IMPORTANT: Set up time is from 8:00AM to 10:30AM

All vendors must be checked in and unloaded by 10:00AM.

All unloading/loading should be done at the entrance indicated in Figures 1 & 2  Please pull forward as much as possible to allow room for others to enter behind you.  Unload your vehicle and proceed through the doors in Figure 3 or 4.  As you are heading in, veer to the right.  The Railhead Showroom will be on your left across from the Buffet in Figure #5.  The side door entrance is to the right of the  Rewards Center.  You will see the Vegas Events and More sign and table just outside the main Railhead entrance if you happen to pass the side door.  Check in with Lynn or Tim, drop off your items and park your car anywhere in the parking lot.

C H E C K - I N

Vendor will be given their table number and location. Each table will be marked and have a Sales Tax form for the show. Tables have been assigned to best accommodate the vendor, their special requests and the overall atmosphere of the show.  Please realize Vegas Events and More has the final decision on table assignment and cannot guarantee all requests have been met.  The floor plan is designed with the best intentions of each vendor and the success of the show.  Please do not request a change to your table space.

S E T - U P

Electric is provided but limited. Please let Tim or Lynn know you need power before you set up and always bring your own extension cord and a power strip. There are limited electrical outlets in the showroom and the Boulder Station Staff will be running main lines to use as needed. You may need to link up together with others to reach your booth.  Please be courteous to other vendors and work together so everyone has access as they need.
 
***Please Note***: Lighting is better in some places than others: If your space requires special lighting to highlight your products, please bring your own lighting.
 
All storage containers, carts, extra product etc. must be kept out of sight under the table.
 
Your table is equipped with linen and 2 chairs.  All items must fit on the table.  All storage containers, carts, extra product etc. must be kept out of sight under the table.  No additional items may be placed to the side, back or front of the table.  This room has very limited space and we will strongly enforce this.   If you prefer to use grid wall, racks or other display items rather than the table, they must fit within the dimensions as if a table was there.  Please let us know this is your intention prior to the show.  Get creative in building up.  Use staircase displays or attached grid wall flush to the table to add height and additional display space.  We want everyone to be able to show their products the best they can.   .  

Due to fire code restrictions, items cannot bleed into walkways.  All aisle-ways are to be kept clear at all times during the show.  

S H O W T I M E
 
During the show, it is important that you engage with customers and be as helpful as possible. Remember you are not only a reflection of your own business, but also a reflection of Vegas Events and More.  We want to continue to make a great impression so they will invite us back.

Vendors are required to stay for the entire show and NOT tear down early! When vendors start to tear down, customers may get the impression the show is over and this may have an adverse effect on your fellow vendor's sales.  Some of the best sales can happen in the last few minutes of a show. 

Any vendor tearing down and leaving early will risk exclusion from future shows.

If you need to leave your booth, please ask your neighbor to watch your booth. An empty booth is a disappointment to customers. Please do not make a customer stand around waiting for you.

Internet Access - There is no internet access provided by Boulder Station.  Please be sure to have a proper data plan on your phone if needed.

Children -  Our events are family friendly.  Many vendors bring their children to help out.  This is acceptable, however, this is a place of business.  Children must behave and act in a professional manner.  Children misbehaving, running around, or otherwise disturbing the show is not acceptable.  The vendor will be spoken to the first time to correct the situation.  If this continues, the vendor will be required to leave the show. 

Sales Tax -  The Nevada Department of Taxation requires sales tax to be collected at this event.  This is the LAW and not an option.  It is your responsibility to know how this law works.

Your table will have appropriate form on it when you first come in.  Please familiarize yourself with this procedure at the following website: One Time Special Event

Be prepared and understand what is required of you.  Vegas Events and More will collect required forms and payments (if necessary) at the end of the show.  No vendor is to leave without providing the required information.

L O A D - O U T

Vendors are not permitted to pack early. The load-out will work essentially as the reverse of the load-in.  All vendors must exit room within 2 hours after the show ends.  PLEASE be considerate of your fellow vendors, we realize after a long day everyone wants to get home.  

During the show, if you need assistance please let us know. Tim & Lynn Dilloo (Owners) wear black company shirts.  If you are not sure who we are, ask another vendor as there is bound to be one nearby who knows us personally.

TIPS  FOR  A  SUCCESSFUL  SHOW
 
Events are a form of advertising and a great opportunity to put you face to face with potential customers.  Sales are great but often times sales come later.  Be sure to let everyone know who you are, what your business is and the products/services you provide. 

  • Be visible, friendly & approachable.
  • Create an inviting set-up. Be creative, draw attention to yourself and your product line. Exhibit how your product works.  
  • Invite shoppers to sign up for your mailing list and email those that you have currently. Offer a free sample or gift to sign up. You may also offer a drawing for merchandise to encourage sign ups.
  • Have plenty of change. Boulder Station has many ATMs, Bill changers and cashiers to assist you.
  • Accept credit & debit cards. Get a Square, Shopify, Paypal or other type of reader.
  • Be prepared. Bring supplies tape, scissors, pens, paper etc.
  • Hungry?  Starbucks, Burger King and Subway are on site.
  • Price your items visibly. Many customers hate to ask.
  • Promote events you are participating in. If you are in other shows or future shows with us, let customers know where you will be next. This builds up a following. Email your customers, share on social media. Promote yourself!  Working together we all can be successful.
  • Allow plenty of time for Loading & Unloading. Be ready when the door is open. Don't be rushed.
  • Scope out the venue beforehand. Know how to get there to avoid delays.
  • Use your time wisely. Keep busy, stay off the phone. Don't sit in the back of your booth.
  • Bring a camera. Take pictures. Help us Help you promote. Share your photos on your own timeline and on our Facebook or Instagram.
